# Onboarding

This step-by-step guide will walk you through the process of getting started with the product.

### Step 1: Apply for access

We are selective about who gets access to the product in order to prevent fraud & double brokering. This also helps increase the chances that shippers in our database are receptive to working with you as you reach out to them.

1. Apply for access at <https://www.shippercrm.com/apply> on any browser.
2. Fill out and submit the form to apply for access.
3. Upon submission, your account should be verified in 1-2 business days. Alternatively, you can authenticate using [Highway](https://highway.com/) and get approved instantly.

### Step 2: Select a plan

We offer three kinds of plans - Lite, Essential and Pro. The differences between the three are outlined below. Pick the plan that best fits the needs of you and your organization.

#### Lite

The Lite Plan includes the following:

* **Access to the Magic Map**
* **Magic Filters:** Filter the shipper database by state, predicted equipment, commodities and revenue&#x20;
* **CRM**
* **Decision Maker Intelligence:** Each list of Linkedin profiles is sorted based on decision maker likelihood
* **50 Company Files**: This information is accessible from the Magic Map, and includes company description, location, revenue estimates and more.
* **Pay as-you-go Enrichment Credits**: Enrichment credits are $1/credit.

#### Essential

The Essential Plan includes the following:

* **Everything in Lite**
* **300 Company Files**&#x20;
* **10 Included Enrichment Credits**

#### Pro

The Pro Plan is the best way to grow your book of businesses efficiently. The Pro Plan includes the following:

* **Unlimited Shipper Profiles**
* **Unlimited Requests for LinkedIn Profiles**
* **On-demand Requests for Phone & Email Enrichment**: The exact number of credits will depend on the commitment you select in step 3.

### Step 3: Select a commitment (Pro Plan only)

If you decide the Pro Plan is best suited to your needs, you will be prompted to select a commitment duration. We offer offer two duration types: 3 months and 12 months. Both cost $200 / month per seat, but they differ in how many [enrichment credits](/settings/organization/enrichment-credits) they come with.

The 3 month plan grants you 200 enrichment credits per seat; the 12 month plan has 900 credits per seat. This means that **the 12 month commitment comes with 100 free credits per seat.**

### Step 4:  Set up your organization

After selecting your commitment, you'll be taken to a screen to setup your organization. Here, you can set the structure of your organization. If you operate under a broker-agent model, you'll be able to add any agencies that operate under your organization here.

# The first 60 seconds

60 seconds to your first shipper - get started with ShipperCRM in a few easy steps.

## Step by step walkthrough

### Step 1: Browse Magic Map

When you first open up Shipper CRM after onboarding, you'll be presented with the Magic Map. Take a moment to browse around and check out all the shipper information that is available to you.&#x20;

Click on a dot on the Magic Map that interests you. Once you do this, you'll see a panel pop open called the [Shipper Profile](/magic-map/shipper-profiles) which is divided into sections for location data, company information, and LinkedIn profiles of logistics employees.

### Step 2: Request LinkedIn Profiles of Logistics Employees

On the Shipper Profile card, you'll see a section towards the bottom called `LinkedIn Profiles of Logistics Employees`. In that section, you'll see a button that says `Request LinkedIn Profiles`. Click this button to request profiles.

Instead of spending hours hunting down relevant LinkedIn profiles yourself, Shipper CRM will curate a list for you.

Currently this process takes 1-3 business days, but soon all shippers will have LinkedIn profiles immediately available for you to browse.

### Step 3: Monitor requests for LinkedIn profiles

Next, hover over the left sidebar to expand it, and click on the `Requests` tab. This will take you to the request tracking page, where you can track all your requests for LinkedIn profiles.

If we were able to find LinkedIn profiles, you can view them by clicking on the LinkedIn request result for that row. This will take you back to that Shipper Profile in the Magic Map.

Once your LinkedIn profiles are ready, click on them to view them in the Magic Map.

### Step 4: Save LinkedIn Profile as Contact

After you click on the completed request for LinkedIn profiles, you'll be taken to the Magic Map to view the associated Shipper Profile with the new LinkedIn profiles added.

From within the Shipper profile, you'll see a button on each suggested LinkedIn profile that allows you to save it as a contact in your CRM.

Click this button, and then go to the CRM by clicking on the `CRM` tab from the sidebar on the left.

### Step 5: Request phone/email enrichment for contact

From within the CRM, you'll be able to see all your contacts. Direct your attention to the contact you just added in step 4. On the contact card, you'll see a button that either says Request Enrichment or Enrich Instantly.&#x20;

Both of these buttons allow you to enrich the contact with human validated phones / emails for the contact by spending 1 [enrichment credit](/settings/organization/enrichment-credits), but they differ in timeline. Requests for enrichment takes 1-3 business days and can be tracked on the [requests page](/request-tracking/contact-enrichment), while instant enrichments are available immediately.

Click the button on the contact card to enrich the contact.

### Next steps: Add interactions & reminders to contacts

Congratulations! You've found your first shipper through Shipper CRM. From here, you can further manage this relationship by adding [interactions](/relationship-manager/interactions) or [reminders](/relationship-manager/reminders) to your contacts. These are useful to cultivate new relationships more deeply, and to make sure existing relationships stay strong.

### Shipper Database

The Shipper Database is the foundation that powers the entire Shipper CRM product experience. Our database contains 51,000+ researched shippers, all at your fingertips.&#x20;

# Free vs Pro

ShipperCRM offers a Free Plan and a Pro Plan. This guide explains the differences between the two.

### Overview

In an effort to allow more users to get a taste for Shipper CRM, we have recently launched our Free Plan. If you'd like to try Shipper CRM before committing to a paid plan, you can check out the free plan. The details of the free plan are explained below, as well as a comparison between the free plan and the pro plans.

### What's included in the Free Plan

At it's core, the free plan includes everything that the pro plan does. You'll be able to use the [Magic Map](/magic-map/overview) to search for shippers and the CRM to [manage relationships](/relationship-manager/overview). You'll also be able to submit requests for LinkedIn profiles of logistics contacts, and enrich these contacts with human validated phone and emails.&#x20;

The key difference between the free plan and the pro plans is that the pro plans offer a much greater level of access to shipper profiles, LinkedIn profiles, and phone / email validation. The free plan includes the following:

* **10 Shipper Profiles**: This information is accessible from the Magic Map, and includes company description, location, revenue estimates, LinkedIn profiles of logistics employees, and more. The free plan allows you to view up to 10.&#x20;
* **5 Credits for Phone & Email Enrichment**: You can request enrichment for up to 5 contacts with human validated phones & emails.

If you'd like access to more data, you can upgrade to a pro plan at any time. This way, you can test the waters with Shipper CRM by starting with the free plan, and then upgrade to a paid subscription once you're ready to scale up your sales operation.

### Scaling up to a Pro Plan

Pro Plans offer significantly more data than free plans. You'll get access to unlimited Shipper Profiles and unlimited requests for LinkedIn contacts for logistics employees.&#x20;

Depending on the commitment duration you select, you will also get significantly more enrichment credits. We currently offer two commitment durations:

* **3 month commitment**: This plan includes 200 enrichment credits per seat
* **12 month commitment**: This plan includes 900 enrichment credits per seat

Both duration's cost $200 per month, per seat. However, customers who chose the longer duration effectively get 100 free enrichment credits per seat, so if you're interested in building out your book of business for the long haul, we recommend choosing the longer commitment.

### How to upgrade

You can upgrade your account at any time. To upgrade your account, hover over the sidebar on the left side to expand it. Towards the bottom of the sidebar, you'll see a button that says Upgrade to Pro. Clicking on this button will take you to the confirmation screen to upgrade your account

# Parent Companies

The top level unit for contacts in the Shipper Database is a Parent Company. All contacts belong to a parent company, which helps unify information across shippers.

### Overview

The top level 'unit' in the Shipper Database is organized and labeled as the Parent Company. All locations and all shippers in the database will have a parent company that they belong to.

A parent company is essentially the larger corporation or organization that owns or oversees a location. For example, a company like Walmart has dozens of locations across the United States that they own and operate.&#x20;

By associating each location with a parent company, Shipper CRM makes it easy to know if you're dealing with multiple locations from the same corporate family, which can influence negotiations and help you understand the nature of operations for a particular location.

### Parent company information

There is a significant amount of information that has been researched about each parent company. This is useful for getting a sense of the size and scale of the organization affiliated with a location, as well as to understand if a particular shipper has needs that align with the capabilities of your organization.

You can expect to have access to the following information about any parent company:

1. **Company website**: The main website for the company
2. **Company Description:** A brief description of what the company does
3. **Estimated Revenue:** An estimation of the company's annual revenue.
4. **Predicted Equipment**: An overview of the type of equipment that the shipper needs
5. **Commodities**: The company's main commodity types that they ship

### Conclusion

Shippers and locations in Shipper CRM are all organized under parent companies. Parent companies are the top level organization that a location belongs to. By grouping items in the database in this way, it's easy to get an overview of the needs and scale of any given location.


# Shipping Locations

Our Shipper Database contains extensively researched location data for shipper facilities.

### Overview

The shipper database contains researched and vetted information about thousands of shipping locations. Locations are a specific instance of a facility operated by that shipper. All locations belong to a [parent company](/shipper-database/parent-companies), which makes it easy to associate it with a larger organization.

Shipping locations are how points on the Magic Map are rendered. The location of the point on the map corresponds with the physical location of the facility that the shipper operates. You can use this location data to find shippers are in geographies that your company serves.&#x20;

### Shipping location information

The shipping location information is the first set of data in a [Shipper Details Card](/magic-map/shipper-profiles), and will appear at the very top of the card. You can view this information by clicking a point on the Magic Map, which will open up the shipper details for that point.&#x20;

You can expect to find the following information under this section:

1. **Location name**
2. **Address**
3. **Main phone number**

All locations will have an address. 90% of locations will also have a direct facility phone number.

### Conclusion

Shipper locations in Shipper CRM are the locations of specific shipper facilities. These are easily viewable from the Magic Map, where you can select locations that correspond with the lanes that your organization runs.


# Magic Contacts

Contacts in Shipper CRM are called Magic Contacts - they're special because they're curated just for you, and stay up to date automatically.

### Overview

We call the contacts in our database Magic Contacts because they are much more advanced than contacts found in typical databases. Magic Contacts automatically stay up to date and are routinely verified to ensure that they are valid.&#x20;

All Magic contacts include a LinkedIn profile and can also be enriched to include validated phones and emails. In addition, all magic contacts are automatically monitored for employment changes, so that you can prospect with confidence and can be sure that you are reaching out to the right people.

### Request LinkedIn Profiles

Magic Contacts start with LinkedIn profiles. When looking at a shipping location from the Magic Map, you can request LinkedIn profiles for logistics contacts to get a curated list of relevant LinkedIn profiles for that location. Currently this may take up to 48 hours, but in the near future it will happen instantly.

These profiles allow you to get closer to the ultimate decision makers at these facilities, and tailor your outreach more effectively.

### Enrich contacts with validated phones/emails

The next portion of Magic Contacts are the human validated phones and emails for each contact. To get these, you can enrich the contacts you have saved using [enrichment credits](/settings/organization/enrichment-credits) with the Relationship Manager.

This will enrich the contact with human validated phone numbers and emails, allowing you to&#x20;

### Monitor employment changes

Magic Contacts are also monitored automatically for employment changes. If any of your key contacts change jobs, you will be automatically notified, so that you are always operating with up-to-date information.


# Overview

The Magic Map is the heart of ShipperCRM. It's the central hub for exploring shipper facilities and finding contacts. This section is a comprehensive guide on how to get the most out of the Magic Map.

### Overview

The Magic Map is how you browse Shipper CRM's proprietary U.S. shipper database with over 51,000 shippers across the entire United States. Shipper facilities will be displayed on the map, as shown on the graphic below. When the map is zoomed out, you'll see bubbles that correspond with the number of shippers in a given area. You can drag the map to explore different areas, and zoom in to see individual shipper locations.

### Zoom in & out

There are a couple of ways to zoom in and out on the Magic Map. The easiest is to scroll up or down using your mouse or trackpad. Scrolling up will zoom out, and scrolling down will zoom in on the map. You can also zoom in by clicking on any of the bubbles on the map. Clicking on a bubble will zoom in on this cluster of shippers. As you zoom in, you'll be able to see points on the map for individual shipper facilities, which you can click on to visit.

### Visited locations

As you browse shippers across the United States, you can click any shipper location to visit it. After being visited, the point on the map will become light gray to indicate that it has been visited so you can keep tabs on your research. Similarly, after purchasing a contact for a specific location, the location will be marked accordingly to remind you which locations you have already saved LinkedIn profiles.

### Satellite View

While the default view for the Magic Map is landscape view, you can optionally toggle Satellite view to get a better sense of the terrain and layout of potential shipper locations. You can use this feature to gain insights into shipper operations, such as dock facilities and truck parking arrangements.

#### How to access satellite view

* Go to the Magic Map in Shipper CRM
* Locate and click on the 'Satellite View' button in the bottom left corner. This will switch the map to satellite mode, displaying a high-resolution aerial view
* Control + Hold-Left-Click will rotate the globe in 3D to see elevation heights

### Hover Card

The hover card is a quick way to get a glimpse of the details of a shipper location. Hover your cursor over a point on the map for the hover card to appear. The hover card provides details on the following: company name (Pro users), a short company description, predicted equipment, estimated revenue, assignee, and view counts, which is based upon which members of your workspace have clicked and viewed that shipper location.

# Filters

You can easily filter the Magic Map to see shippers that are most relevant to your operation. This guide walks through how to use the filters effectively.

### Accessing the filters

1. Head to the Magic Map
2. At the top left corner of the map, you'll see a toolbar with the label "Filter by". This is where you can set your filters

### Types of filters

There are several types of filters that you can filter by in Shipper CRM.&#x20;

You can filter by any combination of these filters - using as many or as few in conjunction with each other as you would like.

These are the filter types that Magic Map has:

#### Company Name

Clicking on the `Shippers` button in the filter toolbox will reveal the search menu, which will allow you to filter by the name of a shipper.

Once you select a shipper from the list, the results on the map will update to only show locations for that specific shipper.

If you search for a shipper that isn't in the list, you can [request a new company](/magic-map/request-new-companies).

#### Equipment

The `Equipment` button in the filter toolbox will open a dropdown that allows you to filter shippers by the equipment that they need. This dropdown has 4 options:

1. **Dry Van**
2. **Reefer**
3. **Flatbed**
4. **Specialized\***

You can select as many or as few of these as you would like, and the map will adjust accordingly.

Currently all other equipment types are grouped under `Specialized`, but in the future we will add more specific equipment types

#### Commodity type

The `Commodities` button will open up a dropdown where you can search from commodities that shippers are looking to have moved, and select the ones that are relevant to your operation.&#x20;

There are hundreds of commodities in the list, and you can select as many as you would like.

#### Revenue

Towards the right of the filter toolbox, you'll see a `Revenue` button, which will allow you to filter by the estimated revenue of the [parent company](/shipper-database/parent-companies) that the location belongs to.

This is one of our more popular filter options as it lets users focus on small to medium sized shippers who are easier to win business from than large shippers.

#### State

The `State` button allows you to isolate shippers by each individual state. This is useful for quickly narrowing down your search scope.

### More Filters

The final filter type is broken into two sections Locations and Workspace. Locations include location specific attributes whereas Workspace includes activity related to workspace members (viewed, saved, and assignee).

**Locations**

1. **Hide unverified locations**: Locations that have been checked for accuracy in the past 30 days
2. **Hide locations with no LinkedIn profiles**
3. **Hide locations with no facility phone numbers**
4. **Show All Locations** (Default)
   1. **Show locations I've viewed**
   2. **Hide locations I've viewed**

**Workspace\***

1. **Hide locations I've already saved**
2. **Hide locations my team has viewed**
3. **Hide already assigned shippers at organization:**&#x20;

\*Only available to organizations with multiple members or workspaces.


# Shipper Profiles

Clicking on a dot on the map for a particular shipper allows you to view all of the researched details for that shipper.

### Overview

From the Magic Map, you can zoom in on a particular region and view dots on the map that correspond with the location of specific shippers. Clicking on any one of these dots will open up the Shipper Profile Card. This card will display detailed information about the shipper, and is also where you can request LinkedIn profiles and save available information to the CRM.

A Shipper Profile location is divided into 3 sections: [Location Details](#location-details), [Parent Company Details](#parent-company-details), [LinkedIn Profiles of Logistics Employees](#linkedin-profiles-of-logistics-employees). We'll cover each section in more detail below.

### Location Details

The first set of details that is displayed on the Shipper Details Card is the location information for the shipper. This is displayed at the top of the details card, and will typically include the following:

1. **Location name**
2. **Address**
3. **Facility phone number**

All locations will have an address. 90% of locations will also have a direct facility phone number.

### Parent Company Details

The next section of the shipper details card contains information about the larger corporation or group that owns or oversees the specific location you've selected. This is useful for a few key reasons:

1. **Unified Information**: It's helpful to know if multiple locations you're dealing with are all part of the same corporate family. This can affect negotiations and understanding of the scale of operations.
2. **Consistency Across Locations**: The parent company's information stays consistent across all its branches, making it easier for you to manage data and expectations.
3. **Strategic Decisions**: Understanding the parent-company relationship can influence strategic decisions such as credit, long-term contracts, and partnership opportunities.

All of the information in this section has been thoroughly researched and vetted by our team. You can expect to find the following information in the parent company details section:

* **Company Website**
* **Company Description:** A brief description of their business will also be provided.
* **Estimated Revenue:** View the shipper's estimated annual revenue.
* **Predicted Equipment:** Understand the type of equipment (dry van, reefer, etc.) likely used by the shipper.&#x20;
* **Commodities:** View the shipper's main commodities.

#### View All Discovered Location

When additional locations have been discovered, Shipper CRM will inform you by surfacing this button. Clicking this `View All Discovered Locations` will reveal all known location on the map and put you in the parent company view.

### LinkedIn Profiles of Logistics Employees

The final section in the shipper details card contains the LinkedIn profile suggestions for the shipper. Depending on the shipper, this section may already contain suggested LinkedIn profiles, or will contain a button that allows you to request LinkedIn profiles of logistics contacts. If you request profiles, you can track the status of your request via the [request tracking page](/request-tracking/linkedin-profiles).

If suggested LinkedIn profiles are already available, you can save them as contacts to the CRM by clicking "Save as Contact in CRM". You can also chose to enrich the contact in the following ways:

1. **Enrich instantly**: If human validated phone/email information is already available, you can enrich the contact instantly
2. **Request enrichment**: If phone/email information is not immediately available, you can request enrichment, and the phone & email information will be human validated and added to the contact. You can track this from the [requests page](/request-tracking/contact-enrichment).

Contacts that you have previously enriched will show their phones/emails in this section of the shipper profile.

### Sorting LinkedIn Profiles of Logistics Employee

There are two ways to sort LinkedIn Profiles:

1. **Decision Maker Likelihood**: Our team uses its freight sales expertise to curate the best list of logistical employees that are prioritized by the most likely to be a decision maker. We do this by analyzing employee titles and ranking them using our proven, field-tested internal grading system.
2. **Distance**: When viewing a specific location, this list will sort the available LinkedIn profiles by the closest to the physically location you're currently viewing.

# Parent Company View

The parent company view is a quick way to reveal all known locations for the company.

### Overview

The parent view in Shipper CRM allows you to easily view parent company details along with all the locations that have been currently discovered for that particular company. This guide will walk you through how to effectively use the parent company view for getting a comprehensive breakdown of known locations.

### From the Magic Map

1. **Navigate to the Magic Map**: From the dashboard in Shipper CRM, navigate to the Magic Map.&#x20;
2. **Open a Shipper profile:** You can do this by clicking on a point on the map
3. **Click View All Discovered Locations**: This is located at the top of the parent company section. Clicking this will immediately reveal all discovered locations from the parent company view.

### From the Request Tracker&#x20;

1. **Navigate to the Requests page**: From the [Requests](/request-tracking/linkedin-profiles) page navigate to the [Request Contact Enrichment](/request-tracking/contact-enrichment#tracking-your-contact-enrichment-request) tab
2. **Click on a company**: From the company table column, clicking on a company will take you directly to the parent company view from within the Magic Map.

### Navigating within the Parent Company View

Once in the parent company view, you will notice some slight differences to the Magic Map including an Exit button at the top left to exit out of the parent company view. The shipper profile side panel will only show parent company specific information, including all known locations associated to the parent company.

### Viewing Known Locations

Clicking on any of the location cards will immediately take you to that location on the map and open the shipper profile location view. This view provides information specific to the facility's address, phone number, and facility type (eg. Warehouse, Store, Manufacturer, Office, Other).

# Tool Bar Actions

### Assigning companies

If the parent company of a shipper has been assigned to someone on your team, you'll see the person's initials at the top of the shipper profile card. This way, you'll always know who on your team is working on which prospects.

If you save a contact to your CRM, the parent company that the contact belongs to will be assigned to you.

### Report Inaccuracies - Get Free Enrichment Credits!

While we take every effort to make sure all information presented for every shipper is verified and accurate, there is always a chance that some inaccuracies slipped in along the way. If you find any incorrect details for a shipper, please report them so we can correct the relevant information.

This is also a great way to get ensure that our shipper database is up to date by getting feedback from the community. In an effort to incentivize this, **we offer 1 free enrichment credit** for any report that turns out to be correct.

**How to Report**: If you find inaccuracies in a shipper's details, use the 'Report Bad Data' button located within the \[+] icon the very top left of the shipper details. Explain the inaccuracy for correction.


# List View

The list view panel is a quick and easy way to browse through more shippers faster.

### Overview

The List View in Shipper CRM is a handy tool that allows you to easily view a comprehensive list of shippers in a specific area of the map. This guide will walk you through how to effectively use list view for gathering detailed information about shippers.

### **Accessing list view**

1. **Navigate to the Magic Map**: From the dashboard in Shipper CRM, navigate to the Magic Map.
2. **Zooming In for List view**:
   * Initially, you'll see shippers represented as bubbles on the map.
   * To activate list view, you'll need to zoom in on your area of interest. List view becomes available only when individual shipper dots are clearly visible.
   * Find the list view button in the top right corner of the map area.
3. **Showing the List View**:
   * Once you've zoomed in, click on the `List View` button to toggle list view
   * The map view will switch to a list format, showing all shippers in the focused area.
4. **Moving around**:
   * You can continue browsing the map like normal and move around
   * When you move away from the location where list view was opened, the refresh button will highlight
   * Click this button to refresh the list with updated shippers from your new location.

### **Using the List View**

1. **Browsing Shippers**:
   * Scroll through the list to see different shippers in the area.
   * Each shipper's entry provides key information like their name, location, facility type, what they specialize in, and the type of equipment they use.
2. **Instant Contact Availability**:
   * Look for a green line at the top right corner of a shipper's listing. This indicates that instant contacts are available for immediate purchase.
3. **Revenue Indicators**:
   * Next to each shipper, you'll notice an indicator of their recent revenue, helping you gauge their business scale.
4. **LinkedIn Profiles:**
   * To the right of Revenue is an LinkedIn icon which represent the available LinkedIn Profiles for that particular company.
5. **Requesting Contacts**:
   * When no LinkedIn profiles are available the LinkedIn icon will be appear gray. If a shipper does not have an instant contact line, you can still request their contact information, which will typically be fulfilled in 2-3 business days.
6. **Other Locations:**
   * When other locations have been discovered for that particular company, each card will indicate the number of locations in the bottom section of the card.
7. **Assignee**:
   * All shippers in the list will display who they are assigned to within your organization (if they are assigned). When another member is assigned, their avatar will appear at the bottom right.
8. **Accessing Detailed Profiles**:
   * Click on any shipper in the list to view their detailed profile, including phone numbers, addresses, and key contacts for communication.


# Request New Companies

Even though our database contains 51k+ shippers, it's possible that you'll want to look for a shipper we don't currently have. This guide walks through how to request research for a new company.

### Overview

One of the underlying technologies that powers Shipper CRM is our powerful Shipper Research Engine. We've used this to build up our database of shippers, and have recently opened the tool up as a beta for you to use.

If you search for a shipper that isn't currently available on the Magic Map, you can use our Shipper Research Engine to conduct on-demand research for the company that you are looking for. Our research engine will go out and do the research for you, and will update the Magic Map with any locations it finds.

### Accessing & using the research engine

1. In the filter toolbar, click on Shippers and type in the name of the shipper you are looking for. If it appears in the dropdown, there's no need to submit a research request.
2. If the shipper isn't currently available, a button will appear that says 'Research The Shipper'. Click this button.
3. A popup will open where you can submit information to be sent to the Shipper Research Engine. The engine requires the company name and the company website. Enter this information and click submit.
4. Our Shipper Research Engine will kickoff the research process. This typically finishes within a minute.
5. Once the research process is complete, you'll be able to view any locations we find.

That's it! It's super simple to request research on new companies.


# Overview

ShipperCRM includes a purpose built relationship manager to help you manage existing relationships and cultivate new ones.

### The CRM

Our CRM tool is a purpose built CRM for freight brokers and carriers. You can use it to manage your existing relationships with shippers as well as cultivate new ones.&#x20;

To access the CRM, hover over the left sidebar and then click on 'CRM' from the options. This will take you to the CRM, where you can start managing your relationships. The next section details the two ways to view your data in the CRM, and how to toggle between them.

### Contact vs. Company Centric Views

#### Contact Centric

The default view is Contact Centric. This will list all of your contacts individually, and not group them by the company they belong too.

In this view, you can see each contact with all of the [interactions](/relationship-manager/interactions) and [reminders](/relationship-manager/reminders), in a timeline like view that shows the progression of the relationship over time

#### Company Centric

You can also view your relationships from a company centric view. You can switch the view to company centric by clicking the toggle in the top left of the screen and selecting 'Company Centric'.

The company centric view is useful for when you want to lookup a specific shipper by name.

You can also assign companies to yourself or others on your team from this view. You can learn more about assigning companies [here](/teams-and-agencies/assign-me-to-shipper).


# Contact Info Card

The contact information card in ShipperCRM is the easiest way to keep track of information about a contact and stay on top of the temperature of the relationship

### Overview

After opening the CRM, you'll see all your contacts listed out on cards. Each contact card will include the following information:

1. Contact name
2. Job title
3. Company name
4. LinkedIn profile
5. Geographic information

If you've requested enrichment for a contact, the validated phones/emails will show up on the card as well. If not, you'll see a button allowing you to request enrichment for that contact.

### General Contact Notes

Each contact card also includes space for you to write down notes about a given contact. You can use this to keep track of any details about the contact or their company.

The animation above shows how to open and use the contact notes effectively.

### Company assignment

Each contact card also displays who the contact is assigned to. You can find this at the bottom of the contact card. If the contact is assigned to someone, their initials will be displayed at the bottom of the contact card. If the contact is unassigned, no initials will be displayed.

### Setting Temperature

In addition to adding notes to a contact, you can also set the temperature of the relationship. This is shown in the animation above.

You can use this to keep track of the status of a relationship as you cultivate it. For example, you can mark all new contacts that you are reaching out to for the first time as Cold, and then change the temperature as the relationship progresses.


# Filtering

There are several ways to filter the data in your CRM to more easily view the information you want.

## Overview

As outlined in the previous section, the CRM has two main views - LinkedIn Profile Centric and Company Centric. There are different filters available depending on the view you are in.

### Filtering in Contact Centric View

To get started, direct your attention to the filtering toolbar near the top of the screen.

There are 4 filters available in the contact centric view. They are as follows:

1. **Assignment:** Filter by who the contact is assigned to
2. **Contact Name**: Filter by the name of the contact
3. **Area**: Filter by the geographic area that the contact is located in
4. **Temperature**: The temperature of the relationship (warm, cold, etc)
5. **Reminder Due Today**: Whether or not the contact has a [reminder](/relationship-manager/reminders) due today.

Clicking on any of the first 4 filters will open up a multi-select dropdown where you can pick as many or as few values to filter by. The Reminder Due Today filter is a true or false switch that you can set to filter contacts based on.

### Filtering in Company Centric View

When you are in the company centric view, you can filter by company name. To do this, simply click on `Company Names` in the filtering toolbar. This will open a dropdown which will allow you to select the company names that you want to see shippers for in your CRM.

You can select as many or as few company names from this dropdown as you would like, and the data in the CRM will adjust accordingly.

You can also filter companies based on who they are assigned to.

### Filtering by assignment

In both the contact and company centric views, you can filter by who is assigned to the contact / parent company. To do this, click on the `Assigned to Me` filter in the 'Filter by' section. This will reveal a dropdown with the names of people on your team, allowing you to filter data based on who is assigned to it.


# Interactions

As you build your relationships, you will want to track the various interactions you have with your contacts. This section explains how to do this easily.

### Add a new interaction to your timeline

To add a new interaction to a contact, follow these steps:

1. Click the blue plus button to the right of a contact info card. This will open a list of interactions to chose from.
2. Hover over the interaction that you want to add. This will cause a new interaction card to appear. Click the interaction from the list that you want.
3. Click on the date field to set the date when the interaction took place, then click `Create This Card`.
4. If there are any notes associated with the interaction that you want to add, fill them in the notes section.

That's it! You've now added an interaction to a contact card. Add as many as you would like - they will appear chronologically in the timeline based on the date that you set for the interaction.

### Edit an Interaction

You can easily edit an interaction you've already added to the timeline. You can do this by clicking on the field you want to edit (either the date of the interaction or the notes) and making the relevant changes. Once you make a change, a `Save` and `Discard` button will appear.&#x20;

When you are finished making changes, click the Save button to save them, or the Discard button if you don't want them.

### Delete Interactions

It is also very straightforward to delete an interaction. Simply click on the `x` button in the top right corner of an interaction card, and the interaction will be deleted.


# Reminders

Similar to interactions, you can also add reminders to your contacts in the CRM. This is the easiest way to stay on top of your relationships and ensure nothing slips through the gaps.

### Adding a reminder

To add a new reminder to a contact, follow these steps:

1. Click the blue plus button to the right of a contact info card. This will open up a list of attributes that can be added to the contact info card.
2. The first item in the list will be `Reminder` - click on this option. This will cause a new reminder card to appear.
3. At the top of the reminder card, select the reminder type you want to add.
4. Set the due date of the reminder, and optionally add any notes.
5. Click the button to create the reminder, and your reminder will be added to the timeline.

### Editing a reminder

To edit an existing reminder, simply click on the field in the reminder that you want to change. You can change any of the fields associated with the reminder - the reminder type, the due date, and any notes you have associated with the reminder.

Once you make any changes, a Save and Discard button will appear. Click the Save button to save changes if you are satisfied with them, or click the Discard button to get rid of them.

### Mark as completed

To mark a reminder as completed, simply click the `Mark As Completed` button. This will mark the reminder as completed and remove it from the timeline view.

### Deleting a reminder

It is very easy to delete reminders from the CRM. Simply click on the `x` button in the top right corner of the reminder card, and the reminder will be deleted.


# LinkedIn Profiles

After requesting LinkedIn profiles for suggested logistics contacts from the Magic Map, you can track the status of these requests in the request tracking page.

### Overview

Submitting a request for LinkedIn profiles for logistics contacts near a particular facility will kickoff a research process to find relevant contacts.

This process can take up to 48 hours and can be tracked easily from the `Requests for LinkedIn profiles` tab in the Requests Tracking Page.

### Tracking your LinkedIn profile requests

1. Hover over the left sidebar in Shipper CRM to expand it and then click on the `Requests` option in the expanded sidebar. This will take you to the Requests Page.
2. Once you're on the Requests Page, click on the `Requests for LinkedIn profiles` tab above the table. This tab is typically selected by default, but if it isn't, go ahead and click it.
3. The table data will update to show all the LinkedIn profile requests that you have submitted and the status for each request.
4. For any completed LinkedIn profile requests, you can click on the result and it will take you to the [Shipper Profile](/magic-map/shipper-profiles) on the Magic Map, where you can add it to the CRM for further use.


# Contact Enrichment

You can track the status of any contacts you have requested enrichment for from the requests tracking page.

### Overview

When you submit a contact enrichment request in Shipper CRM, it goes to a team of humans that source and validate the phone number and / or email for the contact.&#x20;

This process typically takes 1-3 business days, and is easily trackable from the `Requests for Contact Enrichment` tab in the Requests tracking page.

### Tracking your contact enrichment request

1. Hover over the left sidebar in Shipper CRM to expand it and then click on the `Requests` option in the expanded sidebar. This will take you to the Requests Page.
2. Once you're on the Requests Page, click on the `Requests for Contact Enrichment` tab above the table.
3. The table data will update to show all the contact enrichment requests that you have submitted and the status for each request.
4. For any completed enrichment requests, you can click on the result and it will take you to the CRM where you can view the emails and phones that were found and [manage the relationship](/relationship-manager/overview) further.

# Overview

Shipper CRM lets you work as a team, and also grants your sales agencies (if you have them) individual access to Shipper CRM. This is made possible through [**workspaces**](/teams-and-agencies/workspaces) **-** isolated environments for sales teams or agencies within your organization.&#x20;

Workspaces allow you to:

* Virtually organize your brokerage's structure to mirroring your real-world setup
* Manage data access across different teams or agencies
* Prevent conflicts in prospect management and outreach efforts

### Key concepts

* **Organizations**: The top-level entity, representing your brokerage.
* **Workspaces**: Subdivisions within an organization. These typically represent agencies or individual agents. Single-team brokerages will have a single shared workspace. Learn more about workspace types [here](/teams-and-agencies/workspaces).
* **Roles**: Organization owner and member.

### Roles and Permissions

There are 2 different roles within an organization in Shipper CRM:

1. **Owner**
   * Has full control over the entire organization.
   * Can create / delete agencies.
   * Can invite people / remove members
   * Can edit [assignees to saved shippers](/teams-and-agencies/assign-me-to-shipper)
   * Has access to billing and high-level settings.
2. **Admin** (Coming Soon)
3. **Member**
   * Has access to assigned workspace(s) only.
   * Can view other workspace members
   * Can view contacts saved by each workspace member
   * Can view parent companies that are assigned to each member

### Benefits

A key benefit of this new workspaces model is that it makes it very easy for you as a brokerage owner to offer Shipper CRM to broker-agencies that you may be working with.

Workspaces also allow you to segment clients between agencies or salespeople working under you, ensuring that there aren't conflicts during outreach.

You can also use Shipper CRM as a tool to attract high quality agents to come and work with you. Successful brokerages often offer to pay for a portion of their agent's Shipper CRM subscription as an incentive to work with them. This is a powerful incentive to pull in more agents to come work with you.

### Conclusion

Shipper CRM empowers sales teams to grow their book of business while preventing conflicts during client outreach. Our new workspaces feature makes this even easier, giving everyone easy insight into ongoing sales efforts.&#x20;

All organizations in Shipper CRM have workspaces - single-team brokerages will have one shared workspace across the organization, while broker-agents can have a workspace for each agent.


# Workspaces

There are two main workspace types - corporate workspaces and agency workspaces.

Workspaces in Shipper CRM are useful for setting up an isolated environment for sales team(s) within (or outside) your organization. We encourage you to think about workspaces as having two distinct types:

1. Corporate workspaces
2. Agency workspaces

### Corporate workspaces

A corporate workspace is a workspace for all the W2 employees you have in your brokerage. If your brokerage operates under a single team model, then you should use one shared corporate workspace as your main workspace across your organization.

### Agency workspaces

An agency workspace is a workspace that has been created specifically for an agent or agency that is working directly under your brokerages authority. If your brokerage works with broker-agents or broker-agencies, you should setup a workspace for each agent / agency that you work with. If the agent / agency has sub-agents that they employee, those sub-agents should preside in that particular agency workspace.

#### Collision Avoidance

Shippers & contacts that are added in one agency workspace within your organization, will not be allowed to be added by a different agency, in an effort to prevent conflicts during outreach. This allows shippers to be kept separated between each agency. This separation of data is explained in more detail in the [assigning companies section](/teams-and-agencies/assign-me-to-shipper).


# Setup an agency

Setting up and managing workspaces in Shipper CRM is simple and straightforward. This guide walks through how to setup an agency.

### Initial Setup

1. After completing the initial [onboarding](/start-guide/whats-shipper-crm/onboarding) process, you'll be directed to the organization setup screen.
2. Here, you'll be prompted to set your organization name (if you haven't done so already). This is the top-level name for your brokerage.
3. When prompted to select your organization structure, select `Multiple Agencies`
4. We will automatically create workspaces for each agent that has joined your organization. You can add more later if needed. We default to *Untitled LLC* during the initial setup but either the owner or the agent can update this after the workspaces are created.
5. Review your setup and confirm.

### Creating Additional Agencies

After the initial setup, owners can create new workspaces as needed. Here's how:

1. Navigate to Settings.
2. Select "Workspaces".
3. Click "Setup a new agency".
4. Setup the new agency by giving it a name. This will usually be the legal entity (LLC).
5. Click "Create New Agency" to finalize the new workspace.

### Inviting New Members

Owners can invite members to the organization or to a specific workspace. Here's how:

1. Go to the "Members" tab in Settings, under the 'Organization' section.
2. Click the "Invite People" button.
3. In the modal, enter the person's email address. **This should match the email domain of your brokerage.**
4. If you want to add them to specific workspace(s), select the workspace via the dropdown.
5. Click "Send Invites".

You can also invite team members from the settings page for a specific workspace. To do this:

1. Go to Settings > Workspaces > Click on the workspace you want to add a member to.
2. Click the "Add a Member" button.
3. Click the "Invite people" button, and then add the emails of people you'd like to invite.

### Adding Existing Members to Workspaces

Workspace owners can also add existing members to new workspaces. Here's how:

1. Go to Settings > Workspaces > Click on the workspace you want to add a member to.
2. Click the "Add a Member" button.
3. Click on the name of the person you want to add in the dropdown.
4. The user will automatically be added to the workspace - no confirmation is needed.

### Accepting Invites

New members can join the organization or workspace in two ways:

1. Via email invitation:
   * Click the link in the invitation email.
   * If new to Shipper CRM, complete the sign-up process.
   * Accept the invitation to join the organization or workspace.
2. Via the [workspace switcher](/teams-and-agencies/workspace-switching):
   * Log in to Shipper CRM.
   * Open the workspace switcher in the sidebar.
   * Look for pending invites at the bottom of the switcher.
   * Click "Accept" next to the relevant invite.


# Setup a corporate workspace

Setting up and managing workspaces in Shipper CRM is simple and straightforward. This guide walks through how to setup a corporate workspace.

3. Click on the name of the person you want to add in the dropdown.
4. The user will automatically be added to the workspace - no confirmation needed.

### Accepting Invites

New members can join the organization or workspace in two ways:

1. Via email invitation:
   * Click the link in the invitation email.
   * If new to Shipper CRM, complete the sign-up process.
   * Accept the invitation to join the organization or workspace.
2. Via the [workspace switcher](/teams-and-agencies/workspace-switching):
   * Log in to Shipper CRM.
   * Open the workspace switcher in the sidebar.
   * Look for pending invites at the bottom of the switcher.
   * Click "Accept" next to the relevant invite.


# Removing Members

### Overview

In order to remove a member from a workspace, you will need ensure that they belong to another workspace. If the option to remove the member from the workspace is disabled, this is due to the fact that the member is only associated to that particular workspace. If this is the case, you will need to add that member to an existing workspace or create a new workspace for them.

### Removing a Member From a Workspace

Navigate to the member that you would like to remove and click the (•••) or 'more' button. Click 'Remove from Workspace.' If the member is assigned to one or more companies a dialog will appear asking you to confirm by clicking 'Remove.' &#x20;

**Note:** If a member is assigned to any parent companies from this workspace, the parent companies will continue to remain in the workspace but will now appear as unassigned from within the 'Assigned to' filter. # Assign Me To Shipper

Assign companies to help your team avoid reaching out to the same prospects.

### Overview

By assigning yourself to a shipper, you will let your team know that you will be or are already pursuing them as a prospect.

### From The Magic Map

Open a [Shipper Profile](/magic-map/shipper-profiles) card (illustrated below), and click the plus (+) button in the top left.

### From The CRM Company View&#x20;

After you or someone in the same workspace as you has assigned themselves, go to the CRM page and switch to the Company Centric tab. Below the parent company details on the left, you will see an 'Assigned To' section, click the 'Assign To Me' button, or click the existing assignee to change who is assigned (only available to Owner roles).&#x20;

### **From The CRM Company View**

Go to the CRM page and switch to the `Company Centric` tab in the CRM page. If you are assigned to a particular company (or an owner), you can hover over your name and click the `X` icon.

### From the MagicMap

Open a [Shipper Profile](/magic-map/shipper-profiles) card of a company which you're assigned to, click the (+) button at the top left, click the 'Unassign Me' button.


# Workspace switching

Easily switch between workspaces using the workspace switcher.

You can easily switch between all the workspaces you are a member of by using the workspace switcher. To reveal the switcher, hover over the sidebar to expand it, and then click on the name of the workspace that is listed.

This will open up the workspace switcher, where you can easily select any of the other workspaces you are in and switch to it. From this view, you'll also be able to see and accept any pending invites.

If you're using the same email address for other organizations, you will also see these organization(s) and workspace(s) listed in the switcher.


# Organization


# Account

Your account settings can easily be viewed and adjusted from within the settings page.

### Account Information

To view the settings for your account, go to the Settings page and click on the Account tab. This will open up settings for your account.

Here, you can view details about your plan and also view or edit your subscription information.

Below this portion, you can also easily specify your email notification settings. Select or deselect items from the list to adjust when you receive emails from ShipperCRM.

### Updating Payment Information

You can update your payment information from the Account settings tab. To do this, click on `Manage Subscription`. This will take you to Stripe where you can easily update your billing information.

Alternatively, you can also click the `Update Credit Card` link under the "Card On File" tab.

# Members

The next tab over from the Account section is the Members tab. Here, you can view all the people in your organization who have Shipper CRM seats. You can view their name, email, role, and whether or not they have joined. New members join by clicking and accepting the email invite link.&#x20;

This is a great way to maintain visibility throughout your organization, and to ensure that your top sales people have the access that they need.


# Inviting Members

### Overview

As long as the email address domain matches your organizations, inviting new members and increasing your seat count is as easy as adding an email address and sending an invite. Once an invite is sent, it is valid for 7 days.

### Inviting New Members

Owners can invite members to the organization or to a specific workspace. Here's how:

1. Go to the "Members" tab in Settings, under the 'Organization' section.
2. Click the "Invite People" button.
3. In the modal, enter the person's email address. **This should match the email domain of your brokerage.**
4. If you want to add them to specific workspace(s), select the workspace via the dropdown.
5. Click "Send Invites".

**You will be automatically charged for the additional seat(s).**

The price will be computed based on your plan and remaining days of the billing cycle. For instance, if your plan costs $100 per user, you are billed monthly, and you add 2 new members 3 days before the end of the billing cycle you will be charged approximately $20.

# Deactivating a Member

### Overview

In the event you need to deactivate a member from your organization, you can easily do so via the members section. Once a member is deactivated, you can reissue the seat to a new member by clicking 'Invite People.' If you decide to not add any additional members, you will be able to remove the unused seat(s) and the following billing cycle will cost less.

### From the Members Section

Navigate to the member that you would like to deactivate and click the (•••) or 'more' button. Click 'Deactivate Member.' A dialog will appear asking you to confirm by clicking 'Deactivate.' This member will now appear (only to owners) as deactivated.&#x20;

To reactivate a member, follow the above steps but click 'Reactivate Member.'

# Workspaces

You can easily view and edit your workspaces from within the settings tab.

### Workspace information

To view your [workspaces](/teams-and-agencies/overview) and their settings, go to the settings page and click on the `Workspaces` tab. This will open up settings for your workspaces.

Here, you can view all your workspaces, their details, and make changes to them.

You'll be able to view the following information about your workspaces:

* **Name**
* **Number of members**
* **Enrichment Credits used**

### **Editing workspaces**

From settings, you'll also be able to edit your existing workspaces. To do so, simply click on the workspace that you want to edit, and you'll be taken to a settings page for that specific workspace.

Here, you'll be able to add or remove members, and be able to see the roles of the existing members

### Creating a new agency

You can also create new agencies from the settings page. To create a new agency, simply click the `Setup a New Agency` button in the table listing out the agencies in your organization. This will open a modal allowing you to create a new agency.&#x20;

# Enrichment Credits

Enrichment credits allow you to request or unlock direct contact information for any contact from the Magic Map.

### Overview

Enrichment credits are credits that can be used to enrich a saved contact. Enriching a contact means adding human validated phones and / or emails to it.&#x20;

Each enrichment credit can be used to enrich 1 contact. For examples, if you have 200 enrichment credits, you can enrich 200 contacts with human validated phones/emails.

### Included Monthly Credits&#x20;

The number of enrichment credits you have is determined by the plan you chose as well as the commitment duration you paid for.

**Free Plans**

All free plans come with 5 enrichment credits. If you are on the free plan, this means that you can request enrichment for up to 5 contacts.

**Pro Plans**

Pro Plans come with significantly more enrichment credits, and the exact amount is decided by the number of seats you bought, as well as the commitment duration.

* **3 month commitment**: This plan includes 200 enrichment credits per seat
* **12 month commitment**: This plan includes 900 enrichment credits per seat&#x20;

For all Pro Plans, enrichment credits are put together into a shared pool for the organization. This means that if you buy more seats, your whole organization can use more enrichment credits.

**Example**: If an organization buys 2 seats for a 3 month commitment, they have 400 total enrichment credits (2 seats x 200 credits / seat).&#x20;

All 400 credits are put together in a shared pool, and 1 user can use all 400 of these credits if they'd like.

### Buying additional credits

If you're on a paid plan and you use up all your enrichment credits, you can buy more on demand. This can be done from Settings or from the CRM. The process from both places is the same:

1. Click on the green button that displays how many enrichment credits you have.
2. This will open up a popup that will allow you to select how many credits you want and pay.

#### Credit Expiration

Credits included in your plan will expire at the end of the commitment duration. For example, if you purchase a 3 month commitment, and unused enrichment credits from the 200 that were included will expire at the end of the 3 months. Any one-off credits that were purchased, will expire 12 months after purchase date.

### Tracking your credits & transactions

#### Tracking your credits

You can always check how many credits you have left from within the settings page. Simply go to settings and click on the 'Credits' tab. In the top right corner of the table, you'll see a label that says how many credits you have left. You can also track this from the CRM by going to the CRM and viewing the label at the top that shows the number of remaining credits.

#### Tracking your credit transactions

You can also track what specifically you have spent your enrichment credits on. Go to Settings and click on the 'Credits' tab. You'll see a table that displays row by row what your enrichment credits have been spent on. You'll be able to see the date that each credit was used, the shipper name it was used on, the contact, their title, and the user within your organization that the credit was used by.&#x20;


# Integrations

You can connect ShipperCRM to various third party apps to increase it's functionality and take control of your data.

## HubSpot

As of July 31st, 2024 ShipperCRM users can synchronize any contacts & companies they have saved from the MagicMap into their HubSpot account. Currently, this integration is 1-way: from ShipperCRM to HubSpot. In the future we will allow users to move over their contacts from HubSpot to ShipperCRM.

#### Configure the HubSpot Integration

### Follow the HubSpot authentication instructions

After clicking 'Set up', we will direct you to login into your HubSpot account. If you are already logged in, then this should be immediate.&#x20;

### Confirm required data access

HubSpot will ask you to confirm the data that will be shared with ShipperCRM required to safely copy over your ShipperCRM contacts into your HubSpot account.&#x20;

ShipperCRM only uses your existing HubSpot data to resolve potential duplicate contact conflicts. We first need to check if the contact already exists in HubSpot, and if it does not, then we will create a new contact automatically.

### How we handle contacts that already exist in HubSpot

If the contact already exists in HubSpot, we currently synchronize the contact in HubSpot to have the phone numbers and emails that exist for that contact in ShipperCRM.

Example:

* Douglas Adams at Walmart exists in HubSpot and has 2 phone numbers and 1 email
* Douglas Adams at Walmart also exists in ShipperCRM with 2 phone numbers and 1 email

The phone numbers and emails for Douglas Adams in ShipperCRM will be copied into the Douglas Adams in HubSpot.
